As a Functions & Events Assistant, you'll play a key role in supporting the coordination and execution of events that leave a lasting impression on our guests.
Responsibilities:
Event Coordination:
Assist in coordinating all aspects of private events, parties, and functions held at the venue.
Collaborate with clients to understand their event requirements and preferences.
Logistics Management:
Coordinate event logistics, including room setup, audiovisual equipment, decorations, and seating arrangements.
Ensure that all details are accurately communicated and executed.
Guest Services:
Provide exceptional customer service to clients and event attendees, addressing inquiries and concerns.
Assist in managing guest arrivals, registrations, and check-ins.
Vendor Coordination:
Liaise with vendors, suppliers, and service providers to ensure smooth event execution.
Assist in negotiating contracts and arrangements with external partners.
Event Promotion:
Assist in creating promotional materials for events, including digital marketing content and printed materials.
Contribute to marketing efforts to attract attendees to events.
Administrative Support:
Maintain accurate event records, including guest lists, registration details, and payments.
Prepare event-related documents, contracts, and invoices.
Qualifications:
Previous experience in event planning, coordination, or hospitality is advantageous.
Strong organizational skills and attention to detail.
Excellent communication and interpersonal abilities.
Proficiency in Microsoft Office Suite and event management software is a plus.
Customer-focused mindset and a passion for delivering exceptional event experiences.
Ability to multitask and work efficiently under pressure.
Flexibility to work evenings, weekends, and holidays as required.
Team player with the ability to collaborate effectively.
